Warranty - PDS Expense Policy Change: Overview

SUBJECT: PDS Payment/Claim Submission Change - TMD


In support of the Toyota Dealer Council request, beginning February 5, 1990, dealers may be reimbursed immediately for their Pre-Delivery Service expense by the submission of a warranty claim. Dealers will no longer have to wait for the vehicle to be retailed to receive their reimbursement. With this policy change, Toyota will no longer automatically credit dealers for PDS when the RDR is processed. A claim must always be submitted to receive reimbursement. (Do not submit a claim for vehicles with RDR's submitted prior to February 5, 1990).

Claims may be submitted via TDN or on paper claim forms. In order to-simplify the PDS claim submission, a new, multiple PDS claim submission screen has been developed for TDN. The details for claim preparation are provided in the attached exhibits.

The following policies and procedures will apply to PDS reimbursement:

- Dealers will perform PDS, then submit a warranty claim using Claim Type "PD" based upon the corresponding Repair Order.

- Operation code "001013" is to be used for obtaining reimbursement for Pre-Delivery Service. Hours will vary by model/year (refer to flat rate manual for specific times).

- PDS claims are to be transmitted/submitted to the Warranty Department the same as any other claim. These claims will be processed by TMS, sent back to your system (as paid or returned for correction) and recorded on your 10206 Report in much the same manner as any claim today.

- The 10206 Report will have a separate subtotal for PDS claims as well as a "P" before the claim number in Section 2A to indicate PDS claims.

Besides not having to wait for PDS reimbursement until after the vehicle is retailed, an important additional benefit is that PDS payment status will be available on-line.through the regular vehicle warranty history inquiry system.

- Perform the vehicle warranty inquiry.

- Check any claims shown for operation code "001013" to determine if
PDS payment has been made.
