Warranty - Parts Return Freight Charges

SUBJECT: REIMBURSEMENT OF FREIGHT CHARGES INCURRED UNDER THE WARRANTY PARTS RETURN PROGRAM

Toyota has established the Warranty Parts Return Program for the purpose of requesting selected parts from dealers. TMS Warranty would like to remind dealers of the following guidelines for submission of warranty claims for reimbursement of freight charges incurred under the program:

^ Only freight charges for return of parts to the Parts Inspection Center in Torrance, CA as requested by TMS are reimbursable by Toyota. DO NOT include critical freight charges, radio freight charges, charges related to transportation damage, etc. Noncompliance is subject to debit.

^ Copies of shipping documents for shipment of warranty parts to TMS under the Parts Return Program must be retained for 5 years. Failure to maintain proper documentation will result in a debit of the corresponding freight amount. Document retention requirements are explained in the Policy and Procedures Manual.

^ Effective immediately, Toyota requires all freight charges for parts return shipments to be accumulated monthly and submitted at one time (one submission per request from TMS).
